Can any caterer be used for my event at Southern Oaks?

Southern Oaks is the exclusive food & beverage provider for Southern Oaks House and Gardens. No food or beverage of any kind will be permitted to be brought into the facility by the patron or patron’s guests. The only exception is wedding cakes and decorated cakes.

How many do you prepare for when I give you my guest count?

You are required to turn in your final count two (2) weeks prior to your event. This is the number that we prepare food for and number of chairs we put out for your ceremony. You will be charged for any extra guest over your final guest count.

Is Alcohol permitted at Southern Oaks?

Southern Oaks offers a complete selection of beverages to compliment your event. Southern Oaks is the only licensee allowed to serve Alcoholic beverages at Southern Oaks House and Gardens. Alcoholic beverages may not be brought onto the premises from outside. In compliance with the MABC regulations we reserve the right to ask patrons for proper identification for alcoholic beverage service, we reserve the right to refuse alcohol service to intoxicated or underage persons. Alcoholic beverages may not be removed from the premises. Security is required at all functions held at Southern Oaks.

What is included in the facility fee?

The facility fee includes the rooms, all chairs and tables (those owned by Southern Oaks) that would be used for your event. It also includes the room set-up and clean-up.

Can Celebratory cakes be brought in for my event?

Yes, celebratory cakes such as wedding, birthday and anniversary cakes may be brought into Southern Oaks at no additional charge.

Are bands and DJ’s allowed at Southern Oaks?

Yes, They must provide their own light and sound equipment. Access to the facility is available no more than three (3) hours prior to the scheduled event for Weddings and/or receptions scheduled. No fog machines are allowed. They set off the fire alarms.

What can be thrown at my wedding at Southern Oaks?

This must be approved by Southern Oaks, but examples are bird seed, rose petals and bubbles. Glitter or confetti are not acceptable.

What is the time limit for a wedding and reception at Southern Oaks?

Southern Oaks allows thirty minutes for the ceremony and four (4) hours for the reception. If additional time is needed, please make arrangements in advance. Access to the facility is available no more than three (3) hours prior to the scheduled event for Weddings and/or receptions scheduled.

How far in advance must the deposit be paid?

The non-refundable deposit must be paid in order to secure the date for your event. If reserving Southern Oaks facility, a signed agreement with a non-refundable deposit must be received for the reservation to be considered confirmed on our calendar.

Can Southern Oaks cater an event outside of Southern Oaks?

Yes, Southern Oaks catering is happy to meet your catering needs at Southern Oaks or your location. Examples: Local homes, Hattiesburg Train Depot, and Cultural Center.

Does Southern Oaks have someone to coordinate my wedding ceremony?

No. You are responsible for acquiring someone to assist with your rehearsal and actual ceremony. We do assist you with the actually planning of your wedding, but we do not direct the actual ceremony or rehearsal. Your director is also responsible for distributing all personal flowers.

Can I purchase extra time for my event?

Yes, you must make these arrangements in advance. Our facility closes at 12 midnight.

Do you allow a rehearsal if I am holding my wedding at Southern Oaks?

Yes, but we cannot guarantee a Friday night. You may have to work around already booked events. Rehearsals without a rehearsal dinner are limited to 1 1⁄2 hours.

Do you have servers that serve guest for hors d’oeuvres reception?

No, Southern Oaks does not serve your guest for your reception (unless it is a sit-down meal). We will however serve the bridal head table only. Other guests are expected to go through the buffet line to receive their food.

When do I have to turn in my guest count?

A guaranteed number of guests must be received two (2) weeks prior to the event. This is the minimum number of guests to be charged. An increase in attendance will be accepted up to 48 hours prior to the event. The guaranteed number is not subject to reduction after the 48-hour deadline. The guaranteed guest count is also the number of chairs setup for the wedding ceremony.

May I bring in my own flowers for my event?

No, Southern Oaks Florist is the exclusive floral designer for Southern Oaks House and Gardens. No flowers or decorations will be permitted to be brought into our Facility.

Do I have to choose one entrée for my entire guest list for a served dinner?

The following menus are designed as guidelines to assist you in the selection of your food and beverage services. We recommend selecting the same entrée for all guests, however if two entrees are selected, an exact count on each, along with entrée designating place cards is due when you turn in your final count.

When are my payments due for my event?

Upon booking an event and paying your deposit, an estimated proposal will be presented to you. 50% of the estimated proposal is due one month prior to the scheduled event. The remaining balance and guaranteed Guest count are due two weeks prior to the event.
